Xero, QuickBooks or Sage in Ireland: which is easiest to automate?

API access and fees, call limits, webhooks, Sage 50 on the desktop and the Irish packages, checked in September 2026.

Xero and QuickBooks Online are the easiest accounting packages to automate in Ireland, and there is little between them. Both are cloud products with a documented API, webhooks and a free test company. Sage depends on the product. Sage Accounting, the cloud package, has an API that covers Ireland. Sage 50 runs on a PC and is the hardest of the four to connect. Every vendor fact here was checked against the vendor’s own documentation in September 2026. How does Xero automation work, and what does the API cost?

Xero automation runs through the Accounting API, and a build for one business costs nothing in API fees. Since 2 March 2026 Xero prices API access in five tiers. New apps start on the Starter tier, which is free, has unlimited data access and is capped at five connections. One business connecting its own organisation uses one connection. The paid tiers start at AUD 35 a month for 50 connections and matter once an app connects more than five organisations.

Two limits shape the design. Each connected organisation allows 60 calls a minute and, on the free Starter tier, 1,000 a day (5,000 on paid tiers), with five calls in progress at once. A business posting a few hundred bills a month stays well inside the daily cap. A first import of several years of history does not, so it is spread over a number of days.

Xero’s webhooks report new and changed invoices, contacts, credit notes, prepayments and overpayments, so an automation can react to a change without polling for it.

Apps created since 2 March 2026 use granular scopes, which means a connection can be granted invoices without being granted bank transactions (Xero granular scopes FAQ). The same policy update bars developers from using data obtained through the API to train AI models.

What can you automate in QuickBooks Online?

QuickBooks Online publishes higher call limits than Xero and wider webhook coverage. As of September 2026 it allows 500 requests a minute per company, and its webhooks cover 29 entities, including bills, bill payments, invoices, payments, vendors and journal entries.

Intuit prices the API by direction. Calls that write data, such as creating or updating an invoice or a bill, are classed as Core and are unmetered and uncharged. Calls that read data out, such as querying accounts or fetching reports, are classed as CorePlus and are metered. The free Builder tier includes 500,000 CorePlus calls a month and blocks any calls above that. The next tier, Silver, is USD 300 a month.

For a build that serves one company, 500,000 reads a month is a generous allowance. We still design a build to read once and store what it read, because a job that re-queries the whole ledger every few minutes is the kind that reaches a metered cap.

QuickBooks Online is sold in Ireland through quickbooks.intuit.com/ie in four plans: Simple Start, Essentials, Plus and Advanced.

Can Sage be automated, and does it matter which Sage?

It matters more than the choice between Xero and QuickBooks. Sage sells two different products to Irish small businesses, and they connect in different ways.

Sage Accounting is the cloud package. Its API covers Ireland, and an automation reaches it over the internet, the same way it reaches Xero. We could not confirm its call limits or webhook support from Sage’s documentation in September 2026, so we check both against your subscription before pricing a build.

Sage 50 Accounts is installed on a PC (Sage Ireland). Developers reach its data through Sage Data Objects, a set of Windows libraries that Sage restricts to members of its Developer Programme. The integration has to run somewhere that can open the company data, which usually means a machine in your office or on your network. Sage still maintains this route, and the v33.1 developer release for the UK and Ireland was announced on 9 April 2026 (Sage).

A Sage 50 automation is therefore a piece of Windows software with a web service beside it, and it costs more to build and look after than the same job on a cloud package.

What about Big Red Cloud and BrightBooks?

Big Red Cloud can be automated. The Irish package publishes a REST and OData API, authorised with an API key and limited to 1,000 calls an hour per key (Big Red Cloud).

BrightBooks (formerly Surf Accounts) is less clear. BrightPay uploads payroll journals into it by API (BrightPay documentation), which shows an API exists. We found no public documentation for outside developers as of September 2026, so ask the vendor before planning a build around it.

Should you switch accounting package to automate?

Rarely for automation alone. If you are on Xero, QuickBooks Online, Sage Accounting or Big Red Cloud, build on what you have. Moving ledgers costs your bookkeeper and accountant time, and the API differences between the cloud packages are small.

Sage 50 is the exception. If you plan to move to a cloud package within a year or two, move first and automate second, so the integration is built once. If Sage 50 is staying, the desktop route works and is priced as the larger job.

How Loco approaches an accounting integration

Xero, QuickBooks and Sage are named in this post as packages with documented APIs. The published Loco work closest to an accounting integration is payments and billing.

Loco Digital built the ERP HEADtoHEAD booking engine on Stripe and WooCommerce in 2026. The Dublin event is invoiced by the Irish company in euro with Irish VAT, and when Birmingham bookings open they bill the UK company at the UK rate.

A client build follows the same order. The first release only reads from the ledger. Write access is added one step at a time, and the system creates drafts that a named person approves before anything posts. Every build is tested against a demo or sandbox company before it touches your books. Xero’s demo company holds fictional data and resets every 28 days (Xero Central), and Intuit gives developers free sandbox companies (Intuit Developer).

Is Xero or QuickBooks better for a small business in Ireland?

For automation they are level. Both are cloud packages sold in Ireland with a documented API, webhooks and a free test company. QuickBooks Online publishes higher call limits, and Xero’s free tier has no data cap. Choose on plan features, price and what your accountant already works in, then build the automation on the package you picked.

Does Xero charge for API access?

Sage vs Xero in Ireland: which is easier to connect to other systems?

Xero, in most cases. Xero is one cloud product with one API. Sage Accounting is also cloud-based and its API supports Ireland, so the two are comparable. Sage 50 Accounts is installed on a PC and needs a Windows integration built with Sage’s developer kit, which takes longer to build and maintain.

Will the automation break if we change accounting package later?

Part of it will need rebuilding. The steps that read an invoice, check it and queue it for approval do not depend on the ledger. The final step that posts to the package does, because each vendor’s API names and structures records differently. We keep that step separate so a move replaces one component.

Can an automation be tested without touching our live accounts?

Yes. Xero provides a demo company with fictional data that resets every 28 days, and Intuit gives developers free QuickBooks Online sandbox companies. A build we scope is developed and tested there first, then connected to your own books read-only, with write access added only after the drafts have been checked against entries your bookkeeper made by hand.
