HubSpot Xero integration: native sync, connector or custom

What HubSpot’s free Xero app syncs, where it stops, and when a connector app or a custom HubSpot Xero integration fits better.

Yes, Xero integrates with HubSpot. HubSpot builds its own Xero app and lists it in the HubSpot App Marketplace at no charge. A HubSpot Xero integration can be set up in three ways: that native sync, a connector app or workflow tool, or a custom build. The native sync covers contacts, products, invoices and payments, and suits a business that bills one customer list from one Xero organisation. Does Xero integrate with HubSpot?

It does, through an app that HubSpot builds and maintains. As of September 2026 the HubSpot Knowledge Base describes four kinds of record:

  • Contacts sync one way or in both directions.
  • Products in HubSpot sync with items in Xero, one way or in both directions.
  • Invoices sync from Xero to HubSpot, or in both directions.
  • Payments applied to invoices sync from Xero to HubSpot, or in both directions.

The sync supports six currencies: USD, CAD, EUR, GBP, AUD and NZD. HubSpot detects changes on its own side within a few minutes and checks Xero for changes every 30 minutes. Tax rates are imported from Xero into HubSpot’s tax rate library.

Installing it takes a Super Admin, or a user with App Marketplace permissions. The marketplace listing adds that two-factor authentication must be switched on in HubSpot first, that quotes do not sync, and that Xero builds a separate integration with more features. The default field mappings come with the app. Custom field mappings need a Data Hub Starter subscription.

Where does the native HubSpot Xero sync stop?

It stops at the rules HubSpot lists in its own documentation. As of September 2026 these are the ones that decide most projects:

  • Draft invoices do not sync. A HubSpot invoice has to be open before it reaches Xero.
  • HubSpot’s automated sales tax is excluded. Invoices that use it will not sync to Xero.
  • Invoices raised in HubSpot are edited in HubSpot. Change a line item or remove a payment anywhere else and the sync fails.
  • Tax rates are a one-off import. Rates added or changed in Xero later do not follow, and rates created in HubSpot never reach Xero.
  • Several Xero organisations under one login. HubSpot does not support importing taxes for what it calls multi-tenant Xero accounts.
  • Payment history. Only payments created after the app is connected sync to HubSpot.
  • Matching. An invoice needs a customer who exists in both systems, and the contact’s email address has to match.

For a business that sells in euro from one company and raises invoices in HubSpot, most of these are manageable if invoices are edited only in HubSpot and each customer has the same email address in both systems.

When is a connector app or a workflow tool enough?

A connector is enough when the gap is one step. The common one is raising the Xero invoice from a deal. As of September 2026, Zapier’s HubSpot and Xero page lists an “Updated Deal Stage” trigger and a “Create Sales Invoice” action, and Make lists a “Watch CRM Objects” trigger that fires on updated records and a “Create an Invoice” action. Either can turn a won deal into a Xero invoice without code.

Dedicated connectors go further. Invoice Stack’s listing on the Xero App Store describes creating invoices from HubSpot deals, workflow automation, two-way sync of status and payments, multi-currency and tracking categories.

These tools carry their own subscription and their own failure modes. A workflow that creates a Xero contact without searching for one first will add the same customer twice. Zapier, Make or n8n compares the three tools, and business process automation covers where a workflow is the right size of answer.

When is a custom HubSpot Xero integration worth building?

Build one when any of these is true:

  1. A third system is involved. The record also has to reach your website, a booking system, a member database or Stripe.
  2. More than one company bills from one CRM. The integration has to choose the Xero organisation, the tax treatment and the currency for each deal.
  3. Your invoicing has rules. Part-payments, approvals before an invoice is raised, or fields your reports need that the default mappings do not carry.

Both APIs allow it. Xero has priced API access in tiers since 2 March 2026, and the Starter tier is free for up to five connections (Xero Developer). One business connecting its own organisation uses one. Xero allows 60 calls a minute for each organisation, and 1,000 a day on the free Starter tier (5,000 on paid tiers) (Xero Developer). A private HubSpot app on a Free or Starter account is allowed 100 requests every 10 seconds and 250,000 a day (HubSpot usage guidelines). A first import of old records has to be paced to stay inside those limits.

A custom sync also has to handle duplicates itself. HubSpot matches new contacts on email address, but companies created through its API are not matched on domain name (HubSpot Knowledge Base). For the ledger side, see Xero, QuickBooks or Sage: which is easiest to automate.

How Loco would approach a HubSpot and Xero build

We start by testing the native sync against your process, because it costs nothing to try and may cover the first release. Where it falls short, the plan follows four steps.

  1. Give each field one owner. HubSpot owns contact details and deal stage. Xero owns invoice numbers, balances and payment status. Each field flows one way from its owner.
  2. Read before writing. The first release compares the two systems and reports the differences. Writes are switched on one record type at a time.
  3. Search before creating. Every contact and invoice is looked up by an agreed key before a new one is made, and anything uncertain waits for a person.
  4. Log every change. Each create and update is recorded with its source, so a wrong invoice can be traced and reversed.

Is the HubSpot Xero integration free?

The app itself is. As of September 2026 HubSpot lists its Xero integration at no charge, and you pay for your HubSpot and Xero subscriptions as usual. Custom field mappings need a Data Hub Starter subscription. Connector apps from other publishers, and workflow tools such as Zapier and Make, charge their own subscription.

Can a won deal in HubSpot create a Xero invoice automatically?

With the native sync, the invoice has to be raised in HubSpot and marked open before it reaches Xero. To create the Xero invoice from a change of deal stage, use a workflow tool with a deal trigger and a Xero invoice action, a connector app, or a custom build.

How often does HubSpot sync with Xero?

HubSpot’s documentation, as of September 2026, says changes made in HubSpot are detected within a few minutes and changes made in Xero are detected every 30 minutes. A payment recorded in Xero can therefore take up to half an hour to show against the invoice in HubSpot.

Does the HubSpot Xero sync work in euro and with Irish VAT?

Euro is one of the six supported currencies. Tax rates are imported from your Xero organisation into HubSpot’s tax rate library, so the VAT rates come from the ledger. Rates added or changed in Xero after the import do not sync automatically, so check them after any VAT change.

Will connecting HubSpot and Xero create duplicate contacts?

It can, when the same customer has a different email address in each system or none in Xero. HubSpot’s data sync matches contacts on email address by default. Clean the two lists before switching on a two-way sync, and start with a one-way sync from the system you trust more.
