What business process automation in Ireland covers
A workflow starts when something happens, such as a form arriving, a deal closing or an invoice landing in a shared inbox, and it moves the data into the systems you already run. Most steps follow fixed rules. AI is added only at the steps that need reading or drafting. Projects start from €10,000 ex VAT.
Our own studio runs on this pattern: client support email is sorted by rules, and anything uncertain waits for a person. A client portal Loco Digital built turns emails sent to its support address into tickets. For ERP HEADtoHEAD we built a WooCommerce and Stripe booking engine that bills Dublin bookings from the Irish company in euro and is set up to bill Birmingham bookings from the UK company when they open. That build uses no AI.

Which jobs suit Zapier, Make, n8n, Power Automate or custom code?
- Zapier suits short workflows between popular cloud apps that your own team will want to edit.
- Make suits workflows with branches, loops and data that needs reshaping between systems.
- n8n suits high-volume or many-step workflows, and firms that want workflow data on a server they control.
- Power Automate suits firms already on Microsoft 365. Work accounts can build cloud flows with standard connectors on the free licence, while premium connectors need Power Automate Premium, listed at €13.00 per user a month paid yearly (Microsoft).
- Custom code suits workflows that carry payments or customer records, sit inside your own product, or have outgrown per-step pricing. It runs as a small service with its own tests and logs.

When to move off Zapier or another no-code tool
A workflow has outgrown its tool when one of these is true:
- The monthly bill climbs with every step you add.
- Nobody on the team can read the workflow any more.
- Failures go unnoticed until a customer complains.
- The data now has to stay in the EU, or the workflow has started to handle money.
The move is usually to self-hosted n8n or to custom code. We rebuild one workflow at a time and run the old and new versions side by side until their outputs match, then switch off the old one.
Workflow automation, GDPR and self-hosted n8n in the EU
Where each tool processes your data, as checked on 30 September 2026:
- Zapier hosts customer data on AWS in the United States (Zapier), and offers region-specific residency only by agreement (Zapier).
- Make lets you pick an EU or US data centre when you create the organisation, and the choice cannot be changed afterwards (Make).
- n8n Cloud stores data in the EU, on servers in Frankfurt (n8n). Self-hosted n8n runs wherever you put it, so an EU server keeps workflow data and stored credentials inside infrastructure you control.
Hosting the workflow tool in the EU does not settle GDPR on its own. Every app in the chain processes the same personal data, and under Article 28 of the GDPR processing by a processor must be governed by a contract (EUR-Lex). Each plan lists every system a workflow touches and the region it processes in.
What automation costs per run
The tools count usage in different units. Zapier bills in tasks, counting each action step that completes and not the trigger (Zapier). Make bills in credits, and most actions use one credit (Make). n8n Cloud bills per execution, one run of the whole workflow however many steps it has (n8n).
Take a trigger with four action steps, run 1,000 times a month. That is 4,000 Zapier tasks and 1,000 n8n executions. Self-hosted n8n has no per-run charge, but you pay for the server, backups and upkeep. Before you commit we estimate these units against your own volumes, plus model usage for any AI step.
Where AI helps in a workflow, and where a person decides
AI is useful where the input has no fixed format: reading an email or PDF and pulling out the fields, classifying a request by type and urgency, or drafting a reply or summary for someone to check. Rules handle routing, dates, arithmetic and sending. If your team only needs a chat assistant, ChatGPT Business, Copilot, Gemini or Claude compares the off-the-shelf options.
A person decides anything that moves money, changes a price, answers a complaint or closes a customer record. When the AI step is unsure of a result, the item waits in a review queue with the reason shown.
How we build it
- Mapping. We walk the process with the people who run it and choose the tool. If one Zapier or Make workflow your team can set up is enough, we say so.
- Review points first. The plan names the review points, and what the workflow may never do, before anything is built.
- Tested on your records. A sample of past cases with known correct outcomes is run before launch.
- A record of every run. Each run is stored with its input and result, so any output can be traced back to its source.
- Support after launch. An optional retainer from €2,000/month covers monitoring and fixes.
